Communication Center Representative

Job Type: Full-time

Pay: Starting from $18.00 per hour; based on experience

REPORTS TO: Manager of Patient Access Coordinator

HOURS: Monday-Friday 8:00am-5:00pm. Onsite.

Compensation is based on experience.

DUTIES AND RESPONSIBILITIES:

  • Accepts incoming coming calls and schedules all patient appointments with necessary physician
  • Conducts follow up calls and reschedules missed appointments
  • Ensures patient-provider relationship; making sure patients feel welcome to the practice and continues to come to Loden Vision Center to receive top quality care
  • Provide courteous, timely, professional and empathetic customer service at all times
  • Have knowledge of new products, services, advanced techniques and procedures that Loden Vision Center offers
  • Maintain acceptable standards, develop communication skills that will provide the highest levels of service, and demonstrate willingness to cross-train in department support areas

QUALIFICATIONS & REQUIREMENTS:

Patient Care Representative

Loden Vision Centers is looking for a Patient Care Representative to join our Front Desk team and work primarily out of our Goodlettsville office.

The Patient Care Representative must be a highly self-motivated individual that works well in a fast-paced environment. One must be extremely organized, give great attention to detail, and be able to multi-task. Loden Vision Centers prides itself on providing patients with the best quality care, while exceeding expectations with our patient service! Warm and bubbly personalities are a must!

Front Desk Check Job Summary: This individual is responsible for welcoming patients to the practice, treating all patients in a professional and courteous manner, prepping charts, insurance verification, check-in/check-out patients, reviewing patient demographics, and entering new patient information into our EMR system. Surgery Center Director

Position Summary:

The ASC Director for Music City Surgery Center oversees all administrative and clinical operations of the ambulatory surgery center, ensuring high-quality patient care, compliance with regulatory standards, and efficient business performance. This role requires leadership in managing surgical services, particularly in ophthalmology procedures such as cataract surgery, glaucoma procedures, and other outpatient eye surgeries. This position is a “working” leadership role that participates in patient care activities adhering to the requirements of all aspects of the surgery center.

Operational Leadership:

  • Direct day-to-day operations of the ophthalmology ASC, ensuring smooth surgical workflow, patient and staff satisfaction, and surgeon collaboration.
  • Develop, implement, and monitor policies and procedures to maintain accreditation with The Joint Commission and regulatory compliance with CMS and OSHA.
  • Oversee staff and surgery scheduling, inventory management, and equipment maintenance to ensure operational efficiency.

Clinical Oversight:

  • Work closely with surgeons, anesthesiologists, nurses, and clinical staff to ensure safe, high-quality patient care.
  • Monitor infection control practices and ensure adherence to clinical protocols.
  • Participate in Quality Assurance and Performance Improvement (QAPI) initiatives.
  • Establishes implements and evaluates quality and standards of patient care in conjunction with medical staff and clinical staff.
  • Develops patient care protocols, preoperative and postoperative assessment procedures, nursing policies and procedures, physician orders and standard discharge instructions.
  • Conducts audits of nursing staff documentation and patient care through review of medical records.
  • Establishes and oversees a system to ensure adequate supplies of controlled drugs, supplies, instrumentation and equipment are available to meet patient needs 100% of the time, within budgetary constraints.
  • Purchasing of required supplies, controlled drugs, and equipment.
  • Ensures non-expired sterile packs and supplies are available 100% of the time for scheduled cases.
  • Oversees/coordinates obtaining and returning of borrowed/rented equipment and supplies in the most cost effective and timely manner.
  • Collaborates with outside vendors when new technology is procured to assure proper staff orientation of equipment.

Financial Management:

  • Work with CFO to prepare and manage the ASC budget, monitor expenses, and optimize financial performance.
  • Analyze key performance indicators (KPIs), revenue cycles, and cost containment strategies.
  • Collaborate with billing and coding teams to ensure timely and accurate reimbursement.

Staff Management:

  • Recruit, hire, train, and evaluate clinical and administrative staff.
  • Foster a culture of teamwork, accountability, and continuous improvement.
  • Conduct performance reviews and manage staffing levels according to case volume.

Regulatory & Compliance:

  • Maintain compliance with all federal, state, and local regulations.
  • Prepare for and manage audits, inspections, and licensure renewals.

Qualifications:

Licensed Practical Nurse (LPN)

The Licensed Practical Nurse (LPN) supports safe and efficient patient care in the ambulatory surgery center by conducting pre operative and post operative patient phone calls and assisting with hands on nursing care in the pre operative and post anesthesia care areas. This role focuses on patient assessment, education, communication, and clinical support under the supervision of an RN and/or provider.

Essential Duties and Responsibilities:

Pre Operative Phone Responsibilities

  • Conduct pre operative telephone interviews to obtain and document:
    • Medical history and current health status
    • Medications, allergies, prior surgeries, and implanted devices
    • Relevant social history as required
  • Verify completion of required H&P, consents, and pre surgical testing
  • Identify and escalate abnormal findings or concerns to the RN, anesthesia provider, or physician per policy
  • Educate patients regarding:
    • Surgery date, arrival time, and location
    • NPO status and medication instructions
    • Pre operative preparation requirements
  • Document all calls accurately in the electronic medical record (EMR)

Surgery Scheduling / Instruction Calls

  • Call patients to confirm:
    • Surgery date and time
    • Arrival instructions and expected length of stay
    • Transportation and responsible adult requirements
  • Answer routine questions and direct clinical concerns to appropriate personnel

Post Operative Phone Responsibilities

  • Perform post surgical follow up calls to assess:
    • Pain control and medication use
    • Incision or wound status
    • Signs and symptoms of complications
    • Patient understanding of discharge instructions
  • Reinforce post operative care instructions
  • Communicate concerns promptly to the RN or provider
  • Document post operative assessments in the EMR

Pre Operative Patient Care (In Facility)

  • Assist with patient preparation including:
    • Vital signs and patient assessments within scope of practice
    • Patient education and emotional support
    • IV initiation or assistance (as permitted by state law and policy)
  • Assist RN with pre operative workflow and patient readiness
  • Ensure patient comfort, safety, and proper identification

Post Operative Patient Care (PACU / Recovery Area)

  • Assist RN with post operative patient care including:
    • Monitoring vital signs and patient status within scope of practice
    • Pain and comfort measures
    • Assisting with ambulation, hydration, and toileting
  • Reinforce discharge instructions and medication education
  • Observe for changes in patient condition and report promptly
  • Assist with room turnover and maintaining a clean, safe environment

Additional Responsibilities:

  • Maintain compliance with HIPAA, infection control, and safety policies
  • Communicate professionally with patients, families, physicians, and staff
  • Participate in quality improvement activities and regulatory readiness

Qualifications

Refund Specialist

A Refund Specialist is responsible for identifying, processing, and resolving patient and payer overpayments in accordance with payer contracts, federal/state regulations, and organizational policies. This role ensures accurate refund issuance, appropriate account adjustments, and thorough documentation while collaborating with billing, cash posting, denials, and customer service teams to maintain clean accounts receivable and reduce refund aging.

Key Responsibilities

  • Review and research credit balances, duplicate payments, payment reversals, and other overpayment scenarios to determine appropriate resolution.
  • Validate refunds through payer portals, remittance advice (ERA/EOB), explanation of benefits, and internal billing/account notes.
  • Initiate and process refunds to patients and third-party payers in accordance with established approval thresholds and internal controls.
  • Prepare and submit refund requests, supporting documentation, and correspondence to payers (including recoupment or refund forms) as required.
  • Post and/or coordinate appropriate account adjustments, transfers, and write-offs per policy to accurately reflect refund activity.
  • Maintain detailed documentation of research, communications, and actions taken to support audit readiness and compliance.
  • Monitor refund aging/work queues; prioritize work to meet timeliness requirements and performance goals.
  • Coordinate with Cash Posting, Billing, Denials, Patient Financial Services, and Customer Service to resolve complex accounts and prevent repeat issues.
  • Identify refund trends (e.g., incorrect charge entry, eligibility/coverage issues, coordination of benefits, contract misconfiguration) and recommend process improvements.
  • Ensure adherence to HIPAA and data privacy standards when handling protected health information (PHI).
  • Support internal and external audits by providing refund logs, supporting documentation, and status updates.

Required Qualifications

  • High school diploma or equivalent (associate degree in business, healthcare administration, or related field preferred).
  • 1–3 years of experience in healthcare revenue cycle, billing, cash posting, refunds, or accounts receivable.
  • Working knowledge of insurance types (commercial, Medicare, Medicaid) and remittance advice (ERA/EOB) interpretation.

Ophthalmic Technician

Loden Vision Centers is looking for an energetic and positive individual to work as a Ophthalmic Technician at our Rivergate, Green Hills, Gallatin, and Smyrna locations. Willing to train Ophthalmic Technicians looking to grow and learn more.

This individual will be responsible for performing an extensive number of data collection functions and diagnostic testing, to allow for proper professional diagnosis of patients’ conditions by the physicians. Will be responsible for providing accurate documentation and summarization of the physicians’ ocular examination and recommendations.
